Take a look at your paper forms.   In their final "version" they appear to be a "complete"  document.   Usually one that could be neater, less crumpled and stained,  but complete nonetheless.

That info was filled in over a period of time.   In fact there could be 10 or more times that paper was handled and updated.  No doubt several of your employees were responsible for each "piece" of data.

The journey of your paper form is probably something like this:

  1. You wrote the Customer data , date and animals when they called.  
  2. If you called to confirm,  you likely wrote down the date.
  3. Staff recorded the holding area when the animals arrived.
  4. The Customer and/or you selected the Items & Options.
  5. The Hanging weights were recorded after slaughter.
  6. The number of packages /  pounds were written after cutting.
  7. Someone wrote the boxes,  shelf and freezer when the packages were put away.
  8. You added up the charges for a final Invoice amount.
  9. A note was jotted when you called to have them come pickup.
  10. You wrote the check# down when they paid.

 The reason to bring this up  ?   Our system works in much the same way.  

Focused Data

Probably the most asked question from new users is something like

"Why do I only see some of the Cut Sheet at any one point ? "

Out software typically shows you just the "piece of data"  you need at the time you need it.  For example:

  • You don't need to see the Items & Options when you are entering the Hang Weights.
  • You don't need to see the Customer name, address when you are selecting Items & Options.

At any time you can print the form and everything that has been updated will show,  nice and neat. 

Advantages of using Software

Some basic advantages of using software versus paper:

Accuracy -  writing on paper,  especially the same data on multiple forms,  is prone to error or being incomplete.   Software will typically have only certain choices for selection,  check for duplicates and retain default values for quick,  accurate entry.

Easy Access -  a piece of paper can only be in one place at any one time.  Your data can be viewed,  changed and printed from anywhere,  anytime.

Backup - you would have to make copies of all your paper and keep them off premise to have a useful backup.   That is done automatically for you with our system.

Reports - To produce the kind of reports available from software would take time you simply don't have.   Even if you did it once you would not want to do it over and over again.    Each day,  week and month can be instantly added,  sorted and displayed to help you make important decisions to help your business grow.  

 

The Big Picture

When you first start using our software,  there will be those moments when you say "this really isn't any faster than writing it down".

And you will be partially correct.  Grabbing a piece of paper and writing IS faster than navigating to a new Customer input screen,  filling in all those fields and clicking save.

BUT,  the next time that Customer calls,  you only type a few characters and up comes all their info.  A few more clicks and their favorite Items & Options copy into the new Order.   Just imagine the phone time that will save.
